Re:Wired Museum & Arcade CIC is the data controller for this youth-club portal. We use information provided by parents and carers to operate safe sessions, manage bookings, contact families, meet safeguarding responsibilities and report anonymised outcomes to funders.
Information we collect
We collect parent/carer contact details and postcode, children’s identity and age, emergency and collection information, attendance, consent choices and any health or additional-support information you choose to provide. Payment card details are handled by our payment provider and are not stored by Re:Wired.
If you choose to use the saved-login feature, usernames, passwords and notes are encrypted and available only within your parent account. They are not included in staff views, administrator testing, reports or exports.
Postcode and ward reporting
Your full postcode is encrypted. It is sent without your name or contact details to the Postcodes.io lookup service to identify the local authority and electoral ward. Reports use only those broader area labels and never include the full postcode.
Who can see it
Session staff see the register and essential alerts. Detailed medical, SEND and safeguarding information is limited to authorised roles. Administrators may enter a clearly marked test account for support and testing, but cannot open saved child logins. We may share information where necessary to protect a child or where the law requires it.
How long we keep it
Routine child records are normally reviewed for deletion 36 months after the family stops using the service. Safeguarding records may need a different period based on professional guidance and the circumstances. Financial records are retained to meet accounting obligations. Parents can remove saved logins at any time.
Your rights
You can ask for access, correction, restriction or deletion where applicable, and can withdraw optional consent at any time. Contact hello@rewired.org.uk. You may also complain to the Information Commissioner’s Office.
